注意事项:

1．出具的中文版本单位证明,并加盖公章,可以作为正式的语言版本,英文翻译稿不盖章,附在中文正本后面,作为非正式附件,以方便使馆领事人员阅读理解.。

2．信函要打印在单位套头印刷的专用信笺上.如果有外文版的外事专用信笺就更好.公章可盖人事部门的部门章,也可加盖单位公章.。

3．英文稿既然是非正式附件,就不用打印在单位套头印刷的专用信笺上,可打印在空白的a4纸上,且不盖章,也不签名.但仍应采用正式公文体的格式、字体和措辞（如“whereas鉴于”、“hereby兹/特此”、“hereinafter以下/下文”等公文用的文绉绉的“拽”词可以适当运用）.。

4．无论是中文稿,还是英文稿,我方、外方的国号、政府机构名称都必须规范.如英国的全称是“大不列颠及北爱尔兰联合王国the united kingdom of great britain and northern ireland”.。

要弄清楚对方是驻华大使馆（embassy）还是驻某个城市的领事馆(consulate),级别是不一样的.。

各国的规范英文全称附在本文后面.。

但英国大使馆不可以简称为british embassy,应为embassy of the united kingdom,美国大使馆不可以简称为american embassy,而是embassy of the united states,或u. s. embassy.,如果实在搞不准规范的国号全称,可以用规范的简称,如:embassy of the commonwealth of australia（澳大利亚联邦驻华大使馆）,可以简称为australian embassy in china。
